Key Responsibilities:
- Serve as a proactive business partner to the operations team, participating in operational planning to align administrative resources with sorting and dispatch schedules.
- Provide prompt and effective solutions to urgent operational requirements, minimising delays and ensuring business continuity.
- Ensure administrative readiness to support seasonal peaks, high-volume events, and sudden operational changes.
- Facilitate effective communication and coordination between administration and operations for seamless execution of business objectives.
- Oversee day-to-day administrative operations to maintain uninterrupted facility functionality.
- Implement and monitor preventive maintenance programs to minimise equipment downtime and enhance operational efficiency.
- Ensure strict compliance with safety, hygiene, and operational standards throughout the sort centre.
- Oversee the management of all sort center assets, including equipment and furniture.
- Maintain accurate and up-to-date asset registers and ensure proper tagging, tracking, and periodic verification of assets.
- Manage inventory levels of consumables, materials, and operational supplies to ensure continuous availability.
- Implement loss prevention measures and coordinate timely disposal or replacement of obsolete or non-functional assets.
- Collaborate with operations to identify and address material and supply requirements.
- Manage the requisition, procurement, and inventory of office and operational supplies, ensuring availability and cost-effectiveness.
- Ensure adherence to labour laws, health and safety standards, and company policies.
- Coordinate security, housekeeping, and support staff to optimise coverage and service delivery
- Plan and execute administrative arrangements for campaigns, seasonal peaks, and promotional events.
- Mobilise manpower, equipment, and supplies to meet dynamic operational requirements.
- Prepare, analyse, and present reports on administrative KPIs, expenses, and incident logs.
- Manage administrative budgets in line with operational objectives and cost-control measures.
Requirements:
- Bachelor's degree in Business Administration or a related field.
- Minimum 5 to 7 years of experience in administrative operations, facilities management, or similar roles, preferably within a logistics, warehousing, or e-commerce environment.
- Proficiency in MS Office Suite, facility management software, procurement processes, inventory control, and asset management.
- Proven ability to handle emergencies and resolve operational issues quickly.
- Thorough understanding of statutory compliance requirements, including labour laws and safety regulations.
