Personnel filing for all staff is essential to meet audit requirements. The WFP Bangladesh HR team recognized the need for electronic filing of personnel records during the COVID-19 period and subsequently launched the e-filing project. Since 2020, e-files have been maintained for all new hires. However, converting existing hard-copy documents into electronic format remains a challenge, particularly for older files of current staff, which are often more complex. The HR team has initiated this process, and this position will be responsible for developing a structured framework and completing the organization of these files into the established e-file format.

ACCOUNTABILITIES/RESPONSIBILITIES:

Under supervision of HR Officer, the incumbent will be responsible for:

  • Create/review FT (except Cox's Bazar) staff personnel e-files, organize them in acceptable order as recommended in last HR audit.
  • Create a standardized folder and subfolder structure for each file.
  • Sort, rename, and place each document (CV, recruitment, educational/experience certificates etc) in the designated folder.
  • Compare existing personnel file contents to avoid duplication.
  • Review employee work history in WFP and confirm presence of all HR documents (transfers, increments, promotions etc.).
  • Identify gaps/missing documents in each file (missing documents or incomplete information), list them down and notify the appropriate HR officer to support collection of missing documents.
  • Follow up weekly on progress and update the information of missing documents/gaps to ensure completion of e-filling without further delay.
