The Need
For over 25 years, IJM has pioneered the work to protect vulnerable people from violence. 9 out of 9 times in the last decade, IJM's Justice System Strengthening Projects have reduced slavery and violence between 50 and 85% for very large populations of people in poverty. As we grow to expand our impact to protect 500 million people from violence, we are seeking a Sr. Officer, Administration & Communication, Country Director's Office to manage and promote the effective implementation of projects to support the Senior Vice President, Bangladesh (SVP) and enhance our organizational effectiveness. This role combines strategic executive support with facilitative leadership of time-bound projects (both enterprise and locally driven).The ideal candidate will serve as the SVP's right hand – anticipating needs, managing complex priorities, tracking initiatives and delivering on key projects. The Sr. Officer, Administration & Communication, Country Director's Office will provide timely and transparent feedback and reporting on enterprise initiatives in the country and set up processes, tools and solutions to ensure operational success. The role requires a proactive self-starter who enjoys dynamic and flexible work, finds fulfilment in behind-the-scenes support, and has exceptional organization and communication skills. The role reports to the SVP, Bangladesh.
The role is based in Dhaka, but will provide support nationally, including travelling to each of IJM's future program locations (Khulna, Barisal and Mymensingh).
Responsibilities:
Administration & Project Management:
- Support the SVP in all meetings by providing executive level planning and preparing speeches, talking points, PPTs etc.
- Provide administrative support for the SVP including calendar management, travel logistics, expense reporting, prioritizing/ organizing tasks, responding to email and drafting correspondence and reports.
- Anticipate SVP and organizational needs and extend the SVP's capacity by identifying routine matters which can be delegated, processes which can be streamlined, and providing directional support on projects and initiatives.
- Identify gaps and sequencing issues in day-to-day Bangladesh operations, raise those challenges to the Bangladesh Leadership Team for resolution, and contribute effectively to problem solving the same.
- Work closely with relevant teams to manage, promote and facilitate short-term projects for the SVP, working with key stakeholders in Bangladesh and across the organization to ensure that all teams are aligned and operating with mutually accepted and shared frameworks, templates, and processes to ensure timely outcomes.
Communication:
- Develop and manage communications across multiple platforms on behalf of the SVP and facilitate open lines of communication across regional and global teams.
- Serve as the key communications point of contact for IJM Bangladesh with IJM Global and Regional teams and for the SVP to external partners, responding with professionalism in a timely manner.
- Manage internal communications to Bangladesh and Divisional teams on behalf of the SVP ensuring excellent, timely communication in easily accessible ways for all team members.
- Work closely with the Regional/Country teams to support the creation of an ecosystem where the core values of the organization are cultivated and demonstrated in the normal workings of the Country Office.
Qualifications
Education & Experience:
- Bachelor's degree in business administration, program management or similar field.
- Minimum of 3 years of experience working in and with executive teams/leaders. Experience in NGOs preferred.
- Demonstrated experience building executive office practices, processes, rhythms and tools.
- Demonstrated experience working with cross-cultural team.
Technical Competencies:
- Project Management. Program/Project Management certification preferred.
- Proven ability to effectively facilitate projects and manage change.
- Proficient in Microsoft Office 365.
- Exceptional verbal and written communications in both Bangla and English.
- Exceptional organizing and planning skills, with excellent attention to detail.
