Dhaka, with frequent field visits across Bangladesh

Reports To:
Executive Director

Job Summary

The Personal Secretary will provide high-level administrative, secretarial, and operational support to the Executive Director (ED). The role requires exceptional communication, professionalism, confidentiality, and the ability to manage multiple tasks efficiently in a fast-paced corporate environment.

Key Responsibilities

  • Manage and maintain the ED`s daily calendar, appointments, schedules, and meetings.
  • Prepare briefing notes, meeting agendas, minutes, and follow-up action items.
  • Coordinate internal and external communication on behalf of the ED.
  • Draft, review, and format official letters, emails, memos, notices, and reports.
  • Maintain accurate and organized digital and hardcopy files.
  • Arrange travel plans, hotel bookings, transportation, and itineraries.
  • Prepare travel-related documents, expense statements, and activity reports.
  • Coordinate internal meetings, workshops, and presentations.
  • Assist in preparing meeting materials, reports, and presentations.
  • Follow up on assigned tasks with department heads and stakeholders.
  • Coordinate special assignments as directed by the ED.

Educational Requirements

  • Bachelor/Honors
  • Bachelors degree required (Masters degree preferred).
  • Background in Business Administration, English, or related field is an advantage.

Experience Requirements

  • The applicants should have experience in the following business area(s):
  • Tobacco

Additional Requirements

  • Minimum 3-5 years of experience as a Personal Secretary / Executive Assistant /similar administrative role.
  • Experience supporting higher-level management is preferred.
  • Excellent verbal and written communication skills in both English and Bangla.
  • High proficiency in MS Office (Word, Excel, PowerPoint), Google Workspace, and email correspondence.
  • Ability to handle pressure, meet deadlines, and multitask effectively.
