About The Project Office
The Ministry of Health and Family Welfare (MoHFW) is implementing a range of reform measures to strengthen the resilience, efficiency, and equity of the health system in line with the recommendations of the Health Reform Commission These reforms aim to align Bangladesh's health system with the principles of equity, participation, and accountability ensuring that health is realized as both a constitutional right and a public good. In this regard, the Ministry has prepared a comprehensive proposal titled "Health Sector Transformation in Bangladesh", outlining the strategic priorities, implementation modalities, and expected outcomes of the reform agenda. The proposal emphasizes eight key strategic areas including governance and institutional reform, primary healthcare restructuring, workforce planning, financial sustainability, digital transformation, medicine regulation, documentation of transition strategies, and stakeholder communication. The Ministry seeks the technical and strategic partnership of the World Health Organization (WHO) to support the implementation of these reform initiatives. UNOPS Bangladesh will serve as the human resources partner to WHO, providing comprehensive recruitment and contract management services to support the effective implementation of the Health Sector Transformation Project.

Role Purpose
Documentation and Management Assistant will Provide operational and administrative support for documentation, reporting, and knowledge-sharing processes related to the Health Sector Reform Programme. The position will ensure that all reform outputs, reports, and communication materials are systematically compiled, maintained, and disseminated.

Functions / Key Results Expected

  • Documentation Management
  • Compile and organize all reform-related documents, including reports, meeting minutes, policy briefs, and communication materials, ensuring systematic archiving and easy retrieval.
  • Maintain an up-to-date electronic and physical filing system for all project-related documentation.
  • Ensure that all documents are properly formatted, reviewed, and approved before dissemination.
  • Support the preparation of progress reports, presentations, and other knowledge products by gathering and synthesizing information from various sources.
  • Assist in the development and maintenance of a knowledge management platform for sharing reform-related information with stakeholders.
  • Reporting and Communication Support
  • Assist in the preparation of regular progress reports, highlighting key achievements, challenges, and lessons learned.
  • Support the dissemination of reform-related information through various channels, including email, website updates, and social media.
  • Coordinate the translation of documents and communication materials as needed.
  • Maintain a database of key stakeholders and ensure timely communication of relevant information.
  • Assist in organizing meetings, workshops, and other events, including preparing agendas, taking minutes, and following up on action items.
  • Administrative and Operational Support
  • Provide administrative support to the Program Manager and consultants, including managing calendars, scheduling meetings, and making travel arrangements.
  • Provide logistical support for meetings, workshops, and other events, including arranging venues, catering, and transportation.
  • Perform other duties as assigned by the Program Manager.

  • Secondary education/ high school diploma with 4 years of relevant experience

Desired

  • Bachelor's degree in management, business administration, public administration, social sciences or a relevant field is an asset.

  • A minimum of 4 years of relevant experience in documentation, reporting and knowledge-sharing.

  • Experience working in the health sector or with international organizations.
  • IT and digital literacy, including experience of using MS Office 365 (Word, Excel, PowerPoint, Outlook, Teams) and familiarity with SharePoint, OneDrive, and online collaboration tools for documentation and communication.
