Job Description

The job holder will provide administrative support to the project management team in ensuring timely delivery of project milestones. This includes tracking milestone due dates, processing reports and disbursement claims, managing project documentation, and coordinating with team members and partners across different time zones.

Financial Management

  • Monitor project budgets, verify expenditure reports, and ensure alignment with donor compliance;
  • Liaise with finance teams to support timely disbursements, documentation, and partner queries;

Communication & Branding

  • Update the project website and associated providers;
  • Support project-level communications activities and ensure deliverables align with project branding guidelines;
  • Partner with communications colleagues across offices on social media posting and overall IAP dissemination;
  • Manage the program photo library, ensuring quality material is added regularly and according to SNV guidelines;

Events & Coordination

  • Organize and support project-related trainings, meetings, and events;
  • Participate in multi-country meetings and events;
  • Coordinate with international colleagues for planning online and in-person meetings across different time zones;

Operational Support

  • Provide procurement and logistics support for the project team and colleagues;
  • Provide interpretation/translation support and make travel arrangements for team members;
  • Coordinate vendor and service provider engagement, ensuring procurement follows SNV standards;

M&E, Data & Reporting

  • Support program M&E activities, gather and process relevant data according to project requirements;
  • Format and design program annual and semi-annual reports;

Qualifications

  • Bachelor's degree in a relevant discipline from a recognized university;
  • At least two years of proven work experience in a similar position, preferably in project management, administration, communication, or knowledge management;
  • Proven ability to coordinate with multi-country teams and external partners across different time zones and cultures;
  • Experience managing competing priorities and working with diverse, cross-country teams;

Technical Skills

  • Solid computer skills in MS Office applications;
  • Proficiency in IT tools such as SharePoint and other collaborative platforms, as well as design tools like CANVA;
  • Familiarity with project management tools like MS Project, Trello, or similar platforms is an advantage;
