Position: Senior Officer, HR Field Operations, HRD, HCMP

Purpose:

This position is responsible for managing day-to-day HR operations, overseeing HR data and systems and contributing to the implementation of HR policies and procedures. It will collaborate with various departments to deliver seamless employee experience and support the organisation's HR strategy. It will play a key role in ensuring smooth HR processes and efficient administrative operations across the HR function in a qualitative manner.

Responsibilities:

• Facilitate end-to-end onboarding process for newly joined staff to ensure staff understanding, adherence to HR policies and procedure, and organisational compliance standards
• Assist to design, coordinate, and facilitate diverse HR sessions, including policy orientation and dissemination sessions and employee engagement initiatives, sessions on PMS, welling & awareness to foster a well-informed workforce
• Monitor the full cycle of volunteer recruitment, starting from candidate screening to onboarding, while ensuring strict adherence to predefined SOPs, maintaining meticulous records as per formats, and generating periodic analytical reports on volunteer recruitment
• Manage attendance and leave administration process, which includes accurate tracking, validation of records, resolution of discrepancies, ensuring alignment with organisational policies and procedures
• Execute staff separation and transfer process by conducting exit interviews, verifying clearance formalities, processing final settlements, and analysing turnover trends to provide insights as well as maintain transfer process
• Maintain accurate input in ERP and EDMS system by regularly updating employee records, validating data for payroll processing, and ensuring compliance with audit requirements
• Deliver day-to-day HR operational services, including addressing employee inquiries and ensuring timely resolution of HR-related issues to ensure a congenial work environment
• Engage in recruitment and selection process by conducting preliminary candidate screening, coordinating written tests and interviews, and facilitating the smooth transition of selected candidates into the organisation
• Conduct regular field and attendance points visit to monitor the implementation of HR policies, identify gaps in adherence, and provide actionable recommendations to enhance HR service delivery across all operational locations
• Support in payroll process through meticulous validation of attendance records, verification of leave balances, processing of salary adjustments, and close coordination with payroll manager to ensure accurate and timely disbursement of salary
• Coordinate branch-level HR alignment by serving as the primary liaison among Cox's bazar office, branch office, and field office to standardize HR practices, resolving inter-departmental discrepancies, and ensuring consistent implementation of policies across all sectors and units
• Conduct staff verification processes by implementing standardized background check protocols for new hires and existing staff
• Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme`s goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
• Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
• Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.

Educational Requirement:

Minimum BBA/ MBA in Human Resource Management, Business Studies or any other relevant subject. Candidates having PGD in HRM will get preference.

Experience Requirement:

Minimum 2 year(s) of relevant working experience preferably in HR Operations. Candidates having working experience in emergency response will get preference.
