Manager - Procurement
Job Description / Responsibility
The duties and responsibilities of the Procurement Officer are as follows:
- Prepare annual and monthly procurement plans based on program requirements.
- Collect purchase requisitions and verify specifications, quantities, and necessary approvals.
- Conduct market analysis and obtain quotations following procurement guidelines.
- Ensure transparent procurement through proper tendering, bidding, and vendor selection processes.
- Maintain an updated and approved vendor/supplier database.
- Negotiate prices, quality, and delivery timelines with suppliers to ensure best value for money.
- Prepare Purchase Orders (POs), contracts, and related procurement documents.
- Track and monitor delivery of goods and services to ensure timely completion of procurement.
- Maintain procurement records, tender documents, bid evaluations, and approvals for audit purposes.
- Coordinate with the Program and Finance teams for smooth payment processing and budget compliance.
- Ensure strict compliance with policies, procurement rules, and standard operating procedures.
- Support inventory management and verification of delivered items.
- Communicate with suppliers regarding delivery schedules, delays, or quality issues.
- Provide regular updates on procurement status during program meetings.
- Support field teams with procurement needs and logistics when necessary.

Experience Requirements

Additional Requirements
- Familiarity with procurement software and MS Office applications.
Skills
- Strong negotiation and analytical skills. High level of integrity, transparency, and attention to detail. Ability to manage multiple procurement tasks under tight deadlines. Effective communication skills (written and verbal). Ability to work collaboratively with cross-functional teams. Strong record-keeping and documentation skills. Willingness to travel to field offices as needed. Knowledge of policies, local procurement practices, and compliance guidelines will be an advantage.
