Position Overview

We are seeking a detail-oriented and proactive Affiliate Sourcing Coordinator to join our growing operations team. This pivotal role focuses on optimizing operational efficiency, coordinating cross-functional projects, and ensuring smooth execution of day-to-day activities. Key Responsibilities

Affiliate Sourcing & Onboarding

  • Identify, source, and onboard affiliates and vendors aligned with company standards and client needs.
  • Conduct research and outreach to expand the affiliate network locally and internationally.
  • Follow up and close all pending or untended vendor communications.

Affiliate & Vendor Relationship Management

  • Build and maintain strong, mutually beneficial relationships with vendors and affiliates.
  • Serve as the primary point of contact for affiliate communications and concerns.
  • Attend and lead meetings with affiliates and internal teams as needed.

Rate & Contract Management

  • Maintain and update Rate Masterbooks for local and international RFPs.
  • Negotiate and finalize vendor deals to maximize profitability (PM).
  • Process, catalog, and close RFPs in coordination with the Sales Team.
  • Maintain a comprehensive yearly repository of all rates.

Operational Coordination

  • Schedule and coordinate virtual vehicle inspections and handovers to the Dispatch Lead.
  • Oversee multiple affiliate and rate sourcing projects, ensuring deadlines and objectives are met.
  • Document PM increases and project outcomes accurately.

Reporting & Communication

  • Submit detailed project update reports to the Manager at the start of each week.
  • Provide end-of-week progress summaries to the Manager and wider team.
  • Ensure timely delivery of all reports and rate submissions.

Team Development & Training

  • Train and onboard interns or new team members as needed.
  • Share knowledge and best practices to support team growth and efficiency.

Qualifications

  • Bachelors degree in Business Administration, Operations Management, or a related field (preferred).
  • 1-2 years of experience in operations or administrative roles, preferably in a fast-paced environment.
  • Strong organizational and time management skills.
  • Willingness to work night shifts.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office (Excel, Word, PowerPoint).
  • Ability to work independently and collaboratively.
  • High attention to detail and accuracy.
  • Strong problem-solving and critical thinking skills.
  • Flexibility and adaptability to changing priorities.
