Role Summary
We are seeking a highly-organized, proactive, English-fluent Administrative & Project Support Specialist to provide strong operational and project-support across our headquarters in Dhaka and our regional office(s) in South Asia. This role will combine general administrative responsibilities with support for project activities, travel coordination, partner and stakeholder interactions, and occasional travel to our other location(s) in South Asia.
Key Responsibilities
- Provide day-to-day administrative support: managing calendars, arranging meetings, handling internal and external correspondence, drafting emails and documents in English.
- Coordinate travel logistics: bookings (flights, accommodation, ground transport), visa processes, travel itineraries, expense reports.
- Support project management tasks: monitor project schedules, assist with tracking deliverables, support status reporting, help prepare presentations and materials.
- Liaise with internal stakeholders and external partners (including those in India or other South Asia offices) to ensure smooth coordination of tasks and communication.
- Maintain office operations: manage office supplies, equipment, vendor liaison, general facilities oversight.
- File, organise and maintain records, databases, and documentation; ensure data is accurate, up-to-date and easily retrievable.
- Provide support during partner visits: host/coordinate meetings, arrange logistics, prepare materials, act as a point of contact.
- Travel to our other office in South Asia (e.g., India) as required (frequency to be agreed) — assist with setup, coordination, joint tasks.
- Perform additional ad hoc tasks and support as required by senior management or project leads.
Required Qualifications & Skills
- Fluency in English (both written and spoken) is essential.
- Proven administrative or office-support experience (2-4 years minimum) in a dynamic environment.
- Demonstrated project support or coordination experience is strongly preferred.
- Excellent organisational, time-management, and multitasking skills; ability to prioritise competing demands and meet deadlines.
- Strong interpersonal, communication and stakeholder-liaison skills; comfortable interacting across teams and with external partners.
- Proficiency with MS Office suite (Word, Excel, PowerPoint, Outlook) and familiarity with standard office systems.
- Willingness and ability to travel to other South Asia locations when needed.
- Professionalism, discretion (handling confidential information), and a service-oriented mindset.
- Ability to work both independently and as part of a team; adaptable to changing needs and environments.
- (Preferred) Bachelor's degree in Business Administration, Project Management, or related field.
Desirable Additional Skills
- Familiarity with project management tools (e.g., Microsoft Project, Asana, Trello) or comfortable supporting project tracking.
- Experience working in a multi-location/regional environment with cross-cultural partners.
- Basic budget or expense tracking experience.
- Good command of local/regional travel and visa logistics.
Travel Requirements
Regular travel to our other South Asia location(s). e.g., India— is required. The frequency will depend on project needs (for example 10-20% of time, or as required for setup/partner engagement).
