Technical Executive-Fleet Management

Responsible for:

• Assisting the Head of Fleet Management in matters relating to short- and long-term Fleet Management Department.

• Acting and assisting in a subordinate capacity to the Senior Fleet Engineer/Fleet Engineer/Assistant Fleet Engineer of Friendship on all administrative and record-keeping aspects of the floating hospital ships.

• Responsible for maintaining all technical records and reports of the floating hospital ships in liaison with the Fleet Management Department personnel.

• Responsible for making liaison with the Department of Shipping & other third parties like insurance for renewal of registration/survey/insurance documents.

Activities:

• He will be responsible and accountable to the Fleet Management Department in HO for his duties and performance.

• Simultaneously responsible and reportable to the Head of the Department of Fleet Management.

• He shall assist the head of Fleet Management and inspections of the Department and maintain records of surveys/inspection/insurance and their statements, certificates, due dates, etc. and related works as assigned to him.

• He shall directly assist the Head of Fleet Management in Strategic Plan of the Fleet Management Department. He shall inputs relating to the Strategic Plan and review and submission by the Technical Consultant/Advisor/Director.

• He shall be responsible for keeping the Head of the Department of Fleet Management informed about the status of surveys and forthcoming surveys at least 03 months before.

• When required, he shall carry out Technical Inspection of the hospital ships and the boats and report to his superiors.

• If required, he shall attend the floating hospital ships of for any kind of emergency,or repairs, docking, renovation, etc.

• He shall maintain liaison with the Administrator and/or Master of all the floating hospital ships in matters relating to the supply of stores, spares, fuel, lubricants, etc. for the ships.

• He shall maintain forms for reporting on machinery performance, running hours, repair, engine log abstract, etc., and analysis of performance, costs, etc., and shall make amendments to reporting forms, etc. and also report to superiors when abnormality and/or anomaly is observed.

• He shall maintain records for all fuel and lubricating oil supply, consumption, etc., and consumption analysis and report to superiors when abnormality and/or anomaly is observed.

• He shall receive monthly requisitions in prescribed form/s for the supply of fuel and lubricating oils and forward the same to Seniors with recommendations for review and approval.

• He shall receive requisitions from for consumable stores, spares, and equipment and recommend quantities to be supplied and forward these to his superior/s for approval.

• He shall liaise with the Supply & Procurement Department and shall maintain records of supply and receipt by respective ship.

• Maintain records of each PR issued per ship and track associated costs for spares and stores to support budgetary control and review.

• He shall assist the Supply & Procurement Department with the purchase of specialized items of store/spare/equipment for the ships when required.

• He shall review the six-monthly inventory of consumable stores, spares, etc., conducted by the Administrator and shall maintain records of the same and shall report any abnormality and/or anomaly to his superior/s.

• He shall maintain the Department's files relating to the ships and shall file all documents & certificates in respective files, ensuring traceability of filed documents If delegated, he shall periodically monitor the condition, performance, and operability of all trawlers, speed boats, Cabin speed boats, outboard engines, etc., of all the floating hospital ships of Friendship and shall report the same to the superior/s.

• He can be delegated any other additional duty as required or directed by the relevant higher authority appropriate to his competency or grade. He can be transferred from one position to another as per operational requirements or the convenience of the Friendship/Fleet Management Department to a post appropriate to his competency or grade. He will always be required to observe and uphold Friendship's Code of Ethics, Policies & Guidelines, Rules & Regulations, and Personnel Confidentiality Policies.

Skills and Competencies

Educational qualification:

• Minimum A degree/diploma in Marine/Mechanical/Naval architecture/Electrical Engineering is required.

• Knowledge: Office Management and a high degree of Computer literacy.

• Skill: Communication, motivation, and people skills.

• Experience: Minimum 3 to 5 years of experience in Administrative and data keeping, input activities on technical & logistic matters.
