Job Responsibilities
  • Patient Reception and Greeting: Greet patients and visitors with a professional and friendly attitude. Direct patients to the appropriate departments or medical staff.
  • Appointment Scheduling: Manage the calendar for appointments, ensuring timely scheduling of consultations, follow-up visits, and treatments. Coordinate with doctors, nurses, and other staff to ensure the availability of necessary resources for patient appointments. Send reminders for appointments via phone or email.
  • Patient Intake and Records Management: Collect personal information, medical history, and consent forms from new and returning patients. Ensure that all patient records are updated, maintained, and stored securely in compliance with privacy regulations. Maintain accurate documentation of patient information, billing, and insurance details.
  • Communication and Support: Act as a point of contact for patient inquiries, addressing their questions about treatments, procedures, and services. Provide patients with information about treatment plans, fertility procedures, and any pre-treatment guidelines. Handle phone calls, emails, and messages, providing timely and accurate information.
  • Patient Coordination: Coordinate between different departments, such as doctors, nurses, and lab technicians, to ensure smooth patient flow. Assist in facilitating patient treatment schedules and preparation for procedures. Help patients understand the next steps in their treatment journey and provide emotional support.
  • Billing and Insurance: Process patient billing and insurance claims accurately. Verify insurance information and assist patients with coverage inquiries. Ensure that all payments are processed efficiently and correctly.
  • Handling Confidential Information: Adhere strictly to confidentiality guidelines and data protection regulations regarding patient health information. Ensure all records are securely stored and accessed only by authorized personnel.
  • Office Management: Oversee the daily functioning of the front desk, including managing office supplies, maintaining a clean and organized workspace, and ensuring that the waiting area is comfortable. Assist in managing the clinic's scheduling system and patient management software.
  • Patient Follow-up: Make follow-up calls to patients after appointments or procedures to check on their progress. Assist in scheduling follow-up visits and other necessary consultations.
  • Multitasking and Customer Service: Handle multiple tasks simultaneously in a fast-paced environment while maintaining a calm and professional demeanor. Provide outstanding customer service to ensure patient satisfaction and loyalty.
  • Emergency Response: Handle emergency situations calmly and efficiently, directing patients to the appropriate medical staff. Assist in patient transport if required.
