Job Description
The Project Specialist supports the planning, coordination, and execution of projects across departments to ensure timely and successful delivery. Working under the guidance of a Project Manager or team lead, this role involves tracking progress, preparing reports, managing documentation, and facilitating communication among stakeholders. The ideal candidate is detail-oriented, proactive, and capable of handling multiple priorities in a fast-paced environment.
Role Responsibilities
- Assist in the development and maintenance of project plans, schedules, and resource allocations
- Track project progress, deadlines, and deliverables, and provide regular status updates to stakeholders
- Organize and document project meetings, including preparing agendas, taking minutes, and following up on action items
- Support internal communication and collaboration among cross-functional teams
- Coordinate with vendors, clients, or external partners as needed to support project execution
- Assist in identifying risks or issues and contribute to mitigation planning
- Prepare project-related documentation such as reports, presentations, and workflow diagrams
- Maintain accurate records and ensure proper documentation of all project activities
- Help ensure projects are delivered on time, within scope, and within budget
- Support the implementation of process improvements and best practices across the project lifecycle
Qualifications
- Bachelor's degree in Business Administration, Project Management, Engineering, or a related field
- 1–3 years of experience in project coordination, operations, or a similar support role
- Familiarity with project management methodologies (e.g., Agile, Waterfall) and tools (e.g., Microsoft Project, Asana, Trello, or Jira)
- Strong organizational and time management skills; ability to handle multiple tasks and priorities
- Excellent communication and interpersonal skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with data analysis is a plus
- Attention to detail and strong problem-solving abilities
- Ability to work independently and collaboratively in a team environment
- Basic understanding of budgeting, reporting, and workflow documentation
- Fluent in English (written and spoken); additional languages are an advantage in international project environments
