Job Description / Responsibility
Christian Service Society (CSS) is a renowned national NGO with 2,200 employees. We are currently looking for an experienced "HRM Officer" who will be responsible for administrative and operational support to the Human Resource Management (HRM) department. He/She also looks after the staff related necessary HR documentation and database.
Job Responsibilities:
- Prepare various types of official letters, such as appointment letters, permanent appointment letters, transfer letters, increment letters, experience certificates, contract renewal letters, exemption letters, etc.
- Photocopy and dispatch prepared letters on time and maintain employee personal files in the HRM system as required. Check emails daily, send necessary documents to concerned offices through email, and follow up regularly.
- Receive letters from various projects, programs, and sectors; record them in the letter register; maintain opened and received copies; and take appropriate action.
- Check emails daily and send required documents to concerned branches/offices through email and follow up regularly.
- Open, review, and approve letters/emails from various branches; forward them to the respective branches; and update records accordingly.
- Support staff recruitment and selection processes through ECHARM, collect staff requisitions, store selected CVs, and arrange written exams, viva exams, and interviews.
- Inform selected candidates through phone calls, SMS, or email and coordinate their joining process.
- Print and verify reference and educational documents of newly joined employees, collect all required documents according to the joining checklist, and prepare and maintain employee personal files.
- Receive phone calls from field-level staff and other organizational channels and assist the HRM team with assigned tasks.
- Communicate with zone, region, branch, project, and sector offices as required and inform concerned authorities accordingly.
- Complete recruitment-related office procedures for the appointment of new employees in branches.
- Maintain cheques received from employees by sealing them in envelopes with the company name and account number, arrange proper documentation and stamping, and file them after serial numbering.
- Call employees and candidates for interviews and training sessions and coordinate the appointment of selected candidates.
- Inform successful candidates of examination results through mobile calls or SMS and conduct follow-ups.
- Prepare promotion-related letters in coordination with concerned departments according to organizational policy.
- Arrange the dispatch of letters and materials to different branches.
- Prepare transfer letters and work orders for employees for various assignments.
- Perform other duties assigned by higher authorities as required.
Educational Requirements
- Bachelor Degree in HRM/Management
- MBA in HRM or PGD in HRM will get preference
Experience Requirements
- At least 2 year(s)
- The applicants should have experience in the following business area(s):
- NGO
Additional Requirements
- Candidate should have minimum 2 years working experience in HRM sector.
- Preference will be given to candidate having experience in NGO and microfinance program.
- Age & educational requirement will be relaxed for experienced candidate.
- Salary will be negotiable to candidate who having more related experience.
- Candidate should be an expert user of MS Office especially word, excel and power point.
- Candidate should be honest and have hard worker.
